Academic Program Coordinator (APC)

PeopleLink is currently seeking new APC's for the upcoming 2003/2004 academic year. The season is starting now! If you think you may be interested in joining the PeopleLink team in this capacity, read on!

The APC is a commissionable employee of PeopleLink and acts as the direct link between the AYP Administrator and the local representatives (Academic Guides).Ê The APC will begin his/her work by locating, interviewing, and contracting with Academic Guides.Ê Typically, an AG begins by working with AG's in the direct area of the APC, and then slowly branches out. Ultimately, the APC can work with AG's throughout the United States, executing the work via phone and Internet.

Once an APC contracts with an AG, it is his/her job to provide the AG with the information in order to successfully run an Academic Year Program. PeopleLink provides Academic Guide Reference Manuals for the AG's, and the APC will review this information in detail with the AG.

The APC will commit in the beginning of the recruiting season to a specific number of students to place, usually no less than five, ideally 20-30, if not more. A first time APC may work comfortably with 10 students the first year and gradually increase numbers as years pass.Ê The Administrator will work with the APC in meeting the goal and commitment of number of placements, and the APC will in turn work with the AG's in getting the students placed.

The heaviest work period is during the recruiting season, which begins in January and should end by the end of April.Ê Of course, we all know that the early summer months still tend to be heavy recruiting time regardless of early deadlines set due to cancellations, late applicants, school deadlines, etc.Ê All students should be placed by the end of June at the very latest in order to provide students information about their AYP community, school, and family prior to beginning the short term Intensive English ProgramÊ that some students may participate in prior to entering the AYP.

It is the responsibility of the APC to be sure the students are placed by the deadlines in appropriate homes and schools. All APC's and the Administrator work together as a team, supporting and assisting one another when needed.

Once the kids are placed and have arrived, the APC will work with the AG's throughout the school year to ensure a successful year. In the event of any difficulties the APC will provide information to the Administrator and we will work together to problem-solve and find a resolution.Ê The APC receives monthly reports from AG's and, after reviewing them, forwards to them each month to the AYP Administrator.

Occasionally the APC must make in-person visits to schools, homes, etc. when working in the immediate area.

Perhaps the most important role of the APC is to be reliable for all parties involved and participating in the Academic Year Program (student, host family, school, AG, Administrator, PeopleLink, Foreign Partner, etc.).

APC's are paid by commission, based on the number of students handled each year.Ê Monthly commissions start being paid when students arrive, and stop once the kids return home, spread over a 10-month period.

Academic Guide (AG) 

The Academic Guide, an Independent Contractor, serves as a direct liason between student, host family, school, and PeopleLink. The Academic Guide will begin his/her work with PeopleLink by locating and interviewing one host family per student as well as securing school acceptance in the host family's school district.Ê

Once the student(s) arrive, the Academic Guide will go to the airport to meet him/her and bring the student to the host family. Throughout the year, the AG will serve as a neutral party between student and host family, assisting in solving any misunderstandings, miscommunications, etc, communicating at all times with PeopleLink. In addition, the AG will talk with the student and host family once every month (in person at least every other month) to find out how the program is progressing for all involved and then submit a "monthly report" based on the discussions with student and host family.

In addition to the above responsibilities, the Academic Guide will conduct orientations for host family and student, faciliate moving a student if necessary, and bring the student to the airport for departure.Ê PeopleLink offers over-the-phone seminars and reference materials to assist in preparation for these orientations.Ê PeopleLink prides itself on the strong support system which includes the Academic Program Coordinator, the AYP Administrator, and the Directors of the Organization, so the AG should never feel alone and we are always glad to offer any type of support needed to ensure a successful program.

PeopleLink offers a fee for the initial placement, monthly contract fees thoughout the duration of the program, and a budget each month per student which may be used to take the student to lunch during a monthly meeting, birthday cards, gifts, excursions, etc.
